This Privacy Policy applies to the online coaching services provided by Niru Wijayasundara, trading as NIRU, based in Colombo, Sri Lanka. You can reach us at niru.fit@hotmail.com.
This policy explains what personal data we collect through this website, how we use it, and your rights in relation to it.
What Data We Collect
Coaching application (on the main website): when you submit an application, we collect your name, email address, WhatsApp number, Instagram handle (optional), fitness goal, experience level, training location, age range, gender, and motivation.
Client intake form (sent after onboarding): accepted clients complete a detailed intake form before their program is built. This form collects health and lifestyle information including:
- Height and current weight
- Goal physique and focus areas
- Current injuries or physical pain
- Medical conditions (such as PCOS, thyroid conditions, diabetes, or heart conditions)
- Training availability, session length, and preferred training times
- Daily activity level, stress levels, and sleep patterns
- Eating habits, meal frequency, and food restrictions or allergies
- Prior fitness history, concerns, and personal goals
This health information is sensitive personal data. It is collected solely to enable Niru to design a safe and effective personalised training program. It is not used for any other purpose.
Google Sign-In (intake form only): the client intake form requires authentication via Google Sign-In. When you sign in, Google shares your name and email address with us to verify your identity. We do not receive your Google password or any other account data.
We do not collect payment details through this website. Payment arrangements are handled separately and directly with Niru.
How We Use Your Data
Your information is used solely to:
- Assess whether our coaching program is a good fit for you
- Contact you to discuss your goals and next steps
- Personalise your coaching program if you become a client
We do not sell, rent, or share your personal data with any third party for marketing purposes.
How Your Data Is Stored
Form submissions are processed through Web3Forms and delivered by email directly to Niru's inbox. Web3Forms acts as a data processor under their own privacy policy.
Authentication on the intake form is handled by Google Identity Services. Google's handling of sign-in data is governed by Google's Privacy Policy.
Emails and client information are stored securely in Niru's personal email account. We do not use a CRM or third-party database to store client data.
How Long We Keep Your Data
- Applicants not taken on: your application details are deleted within 90 days of our initial response.
- Active clients: data is retained for the duration of the coaching relationship and for up to 12 months after it ends, for reference and continuity.
Cookies & Tracking
This website does not use advertising cookies or tracking pixels. We use Vercel Analytics to measure basic page performance (page views, visit counts). This is privacy-friendly analytics — no personal data is stored, no cross-site tracking occurs, and no cookies are set.
External resources loaded by this site include Google Fonts (typography) and, on the intake form page only, Google Identity Services (authentication). Neither service sets advertising cookies or tracks you across other websites.
Your Rights
You have the right to:
- Request a copy of the personal data we hold about you
- Ask us to correct inaccurate information
- Ask us to delete your data (right to erasure)
- Withdraw consent to us holding your data at any time

Changes to This Policy
We may update this Privacy Policy from time to time. The current version will always be available on this page with an updated date at the top. Continued use of our services after changes constitutes acceptance of the updated policy.
